What This Does

Turns a rough bullet outline into a polished letter or update inside the same Google Doc you were already going to type in. For a program manager writing partner updates, funder cover letters, and community announcements every week, it skips the blank-page stage and gives you a full draft to edit instead of write from scratch.

Before You Start

  • You have a Google account, either personal or through your organization's {{tool:Google Docs.plan}}
  • Workspace smart features are turned on (check Settings if you don't see the pencil icon in Step 1)
  • You know the three or four facts the letter needs to cover

Steps

1. Find the AI feature

Open a Google Doc and click where you want the text to appear. Look for a small pencil icon with a sparkle along the right edge of the page, or open the Insert menu and choose Help me write. A text box appears where you type your request.

2. Tell it what you need

Describe what the letter or update should say, not just the topic. Include the audience, the key facts, and the tone. Then click Create.

3. Review and use the result

Read the draft against what you actually know. Google Docs did not attend the meeting or see the budget, so it can only work with what you told it. Use the follow-up buttons, Formalize, Shorten, Elaborate, Rephrase, or type a custom instruction, to adjust length or tone without starting over. When it reads right, fill in names, dates, and figures, then send or share the doc.

Real Example

Scenario: A community partner agency needs to know that your after-school program is adding a second location next month and needs their referral contacts updated.

What you type: "Write a short letter to a partner agency contact. Tell them our after-school program is opening a second site at Jefferson Elementary starting next month. Ask them to update their referral list with the new location and confirm the same intake process still applies. Warm but professional tone, under 200 words."

What you get: A two-paragraph draft covering the announcement, the ask, and a closing line inviting questions. You add the contact's name, the exact start date, and your direct line before sending.

Tips

  • Paste last month's letter into the same document first and ask Help Me Write to match its structure. Consistency across funder and partner mail builds a recognizable voice for your program.
  • Save a strong draft as a template doc in Drive. Duplicate it next time instead of starting the prompt over.
  • If the pencil icon does not appear, ask your Google Workspace admin whether smart features are enabled for your organization's domain. Nonprofits on the free Workspace for Nonprofits tier usually have it on by default.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
