What This Does

Reads a long back-and-forth email thread and pulls out the decisions, dates, and action items so you can catch up before replying instead of scrolling through every message. With daily email use reported by nearly every program manager, this turns a five-minute re-read into a fifteen-second scan.

Before You Start

  • Your organization's email runs on Gmail through Business Standard or a personal Google account with Gemini enabled
  • You're viewing the thread in Gmail, on desktop or mobile
  • The thread has several replies. This feature is most useful on threads that have gone back and forth more than once

Steps

1. Find the AI feature

Open the long thread in Gmail. On desktop, look near the top of the thread for a "Summarize this email" prompt, or select Ask Gemini at the top right of your inbox. On mobile, Gmail may already show a summarized view above the messages for longer threads.

2. Tell it what you need

Click Summarize this email, or if you're using Ask Gemini, type a request such as "summarize this thread and list any dates or commitments." No special phrasing is required. The default summary already pulls out key points automatically for threads Gmail flags as long or complex.

3. Review and use the result

Read the summary against the last message in the thread before you reply. Gemini is pulling out what it thinks matters, not confirming any of it is still accurate. Check that dates, dollar amounts, and who-owes-whom items match the actual emails, then draft your reply.

Scenario: A funder thread about a mid-year budget modification has stretched to nine replies across two weeks, involving your program director and the funder's grants officer.

What you do: Open the thread and click Summarize this email.

What you get: A short digest noting that the funder approved shifting $3,000 from travel to supplies, requested an updated budget page by the 15th, and is still waiting on your program director's sign-off. You confirm the deadline against the actual email before replying, since the requested date is the detail most worth double-checking.

Tips

  • Use this on funder and partner threads specifically. Threads that quote sensitive client details, referrals, or case specifics deserve a full read rather than a summary, since a compressed digest can drop context that matters for a decision.
  • If the summary omits something you know was discussed, scroll to that specific message. Gemini prioritizes recent and clearly stated items over buried asides.
  • This feature depends on your organization's Google Workspace plan. If you don't see it, check with whoever manages your Workspace admin console.
